HKSYU Library Access

A. Staff & Students

  1. No application needed – Your valid staff/student ID card is your library card.
  2. Full access – Use all library services, borrow books, and access facilities.
  3. Keep your ID active – Faulty/expired/lost cards won’t work; replace them through the Computing Services Centre (CSC) of the University.

B. HKSYU Alumni

Graduates awarded degrees directly by HKSYU may apply for either:

  • Alumni Reader Card, or
  • Alumni Borrower Card

Graduates from joint programs will be considered on an individual basis.

Application must be done online.

Cardholders enjoy access to the HKSYU Library and its collections for on-site use. Please note this card does not include borrowing privileges at any time during its validity period.

Access to online databases (on-site / remote access).*

Alumni Borrower Card

Cardholders enjoy full access to the HKSYU Library with borrowing privileges, allowing holders to check out up to 12 books for 30 days during the card’s active period.

*Alumni Reader and Borrower Card holders can access the Library’s online databases on-site, with selected databases also available for remote access (subject to change based on licensing agreements).

Application Procedure:

  1. Submit the Online Form
  2. Email the following items to libcirc@hksyu.edu:
    • A recent e-photo
    • A copy of proof of graduation
  3. Application fee must be paid online. Cash or in-person payments are not accepted.  Payment methods include:
    • FPS
    • Alipay (CHINA)
    • WeChat Pay
    • PPS
  4. Once payment is confirmed, the library card will be mailed to the applicant’s provided address.  No in-person collection is required unless specified by the Library.

Notes:

  1. The Library reserves the right not to offer services to any individual based on his/her past conduct in the Library.
  2. The Alumni Reader and Borrower Card are not transferable to another user.
  3. Loss of the Card must be reported immediately to the G/F Service Counter at 2806-5113.
  4. For renewal, please submit the Online Form.

C. Staff Family Members

Eligible family members (spouses, children aged 12+, parents, and siblings) of HKSYU staff may apply for library membership. The card remains valid while the staff member is employed. Family members visiting Hong Kong for fewer than 15 days are not eligible.  Application must be done online.

D. External Researcher

 Access Policy:

  1. Eligibility: Non-HKSYU members may apply for access if they require specific library materials for research purposes.
  2. Discretionary Approval: All applications are subject to review, and the Library reserves the right to refuse any request.
  3. Authority: Final decisions on all aspects (approval, duration, usage terms) rest with the University Librarian.

Application Requirements & Procedure:

  1. Submission of Request
    • A written request must be submitted in person or by mail to:

    • The request must include:
      • A brief description of the research project
      • Supporting documents, such as:
        • Proof of academic status (e.g., valid student ID, tuition fee receipt)
        • Professional qualifications (e.g., membership in a relevant association)
        • Recommendation letter from an academic supervisor (if applicable)
  1. Processing Time
    • The Library will respond within 5 working days of receiving the request.
  2. Approval & Card Issuance
    • If approved, the applicant must:
      • Bring a recent photo (1.5″ x 2″)
      • Complete the application form in person at the Library
    • The Library will notify the applicant when the Reader Card is ready for collection at the G/F Service Counter.
  3. Card Renewal
    • Renewal requests follow the same approval process as new applications.

Notes:

  1. The External Individual Reader Card grants access only (no borrowing privileges).
  2. All applications are reviewed on a case-by-case basis, and the Library reserves the right to reject any request.
  3. Final approval, duration, and terms of use are determined by the University Librarian.

E. VIP Membership

The HKSYU Library offers VIP membership to individuals who make significant contributions to the Library. All applications and borrowing privileges require approval by the University Librarian.
