It is the official repository for Shue Yan\u2019s records of permanent and historical values. The Archives collects inactive records that documenting the growth and development of Hong Kong Shue Yan University, former, Hong Kong Shue Yan College (1971\u20132006), and ongoing. The University Archives strives to document the full picture of Shue Yan&#8217;s histories, record students, employees, and alumni\u2019s life through collecting and preserving both official and unofficial records, regardless of format. Final selection of material is at the discretion of the University Archives.&nbsp;<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\"><span id=\"Policy_and_Procedure\">Policy and Procedure<\/span><\/h2>\n\n\n\n<p>The <em><a href=\"https:\/\/library.hksyu.edu\/lib\/wp-content\/uploads\/2025\/07\/Hong-Kong-Shue-Yan-University-Archives-Policy_062025ver1.pdf\" data-type=\"URL\" data-id=\"https:\/\/library.hksyu.edu\/lib\/wp-content\/uploads\/2025\/07\/Hong-Kong-Shue-Yan-University-Archives-Policy_062025ver1.pdf\">University Archives Policy<\/a><\/em> was approved by the University\u2019s Academic Board in June 2025.<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\"><span id=\"Shue_Yan_AtoM_Online_Archives_Catalogue\">Shue Yan AtoM: Online Archives Catalogue<\/span><\/h2>\n\n\n\n<p><strong>Shue Yan AtoM<\/strong> is the online catalogue of university archives, where you can find descriptions of the records and selected digitized items in our archival holdings.<\/p>\n\n\n\n<div id=\"section-g1cceb2\" class=\"wp-block-gutentor-e2 section-g1cceb2 gutentor-element gutentor-element-button button-align-left-desktop\"><span class=\"gutentor-button-wrap\"><a class=\"gutentor-button gutentor-block-button gutentor-icon-before\" href=\"https:\/\/archives.hksyu.edu\/index.php\/\" target=\"_blank\" rel=\"noopener noreferrer\"><i class=\"gutentor-button-icon fas fa-arrow-right\"><\/i><span>Enter Shue Yan AtoM<\/span><\/a><\/span><\/div>\n\n\n\n<div style=\"height:25px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p>The <strong>Shue Yan AtoM<\/strong> project kick-started in October 2022, aiming to create a single point of searching, viewing, and requesting archival items. As it is the initial stage of releasing the online catalogue to public facing, we welcome your comments of the experiences on using <strong>Shue Yan AtoM<\/strong> for our future improvement.<\/p>\n\n\n\n<p>Cataloguing and digitalization our vast collections is an ongoing process, the archives staff will continually be working on the updates and making more items available. The University Archives reserves the right to accept or decline any donation and transfer based on the concurrent collection policy, or not resourced to acquire and manage.<\/p>\n\n\n\n<p>For individuals or departments interested in giving materials to the University Archives, please fill in the <a rel=\"noreferrer noopener\" href=\"https:\/\/hksyu.syd1.qualtrics.com\/jfe\/form\/SV_7TJTukr1qAXWjau\" target=\"_blank\">consultation form<\/a> (hyperlink or QR code below) <strong>before<\/strong> donating or transferring the records. Do not rearrange any boxes or files.&nbsp;<\/li><li>Clearly label all the boxes (and items if possible) with box number and department\/personal name.&nbsp;<\/li><li>Clearly label all the digital carriers (for digital records).&nbsp;<\/li><li>Provide inventory lists or indexes of records especially for large quantity donations.&nbsp;<\/li><li>Advise the level of access or restrictions of records.&nbsp;<\/li><\/ul>\n\n\n\n<p><\/p>\n\n\n\n<p>\u26a0\ufe0fPlease note that the University Archives does not accept the followings in general:&nbsp; <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Active records that need to use in regular sequence or keep for legal obligations&nbsp;<\/li><li>Material duplicates the current collection&nbsp;<\/li><li>Personnel records&nbsp;<\/li><li>Student files and student records&nbsp;<\/li><li>Routine records and routine correspondence&nbsp;<\/li><li>Reference files of research material&nbsp;<\/li><li>Copies of materials held by another archival repository&nbsp;<\/li><li>Materials of unclear provenance&nbsp;<\/li><li>Plaques, awards, trophies (in most cases)&nbsp;<\/li><li>Objects and works of fine art (in most cases)&nbsp;<\/li><li>Extremely damaged and fragile items or materials present risk to health and safety<\/li><\/ul>\n\n\n\n<div style=\"height:29px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\"><span id=\"Access_Archival_Records\">Access Archival Records<\/span><\/h2>\n\n\n\n<p>All archival records are not loanable outside the Library Building. You will need to make appointment <a rel=\"noreferrer noopener\" href=\"mailto:uainfo@hksyu.edu\" target=\"_blank\">by email<\/a> and come into the Library during opening hours to access the records under supervision. Some records may be digitized and available to view online at <a href=\"https:\/\/archives.hksyu.edu\/index.php\/\" data-type=\"URL\" data-id=\"https:\/\/archives.hksyu.edu\/index.php\/\" target=\"_blank\" rel=\"noreferrer noopener\">Shue Yan AtoM<\/a>. Therefore, it is suggested the users to:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Search on <a rel=\"noreferrer noopener\" href=\"https:\/\/archives.hksyu.edu\/index.php\/\" data-type=\"URL\" data-id=\"https:\/\/archives.hksyu.edu\/index.php\/\" target=\"_blank\">Shue Yan AtoM<\/a> for the archival holdings and finding aids.
